Pickup Process

Follow these steps exactly. Location services must be enabled on your phone or the process will fail.

1

Vehicle location email (2–8 hours before)

You will receive a separate email with the exact vehicle location 2 to 8 hours prior to your pickup time.

2

“Start your rental” email (1 hour before)

One hour before your scheduled pickup, you will receive an email with a link to begin the self-serve process. You must be near the vehicle with location services enabled to proceed.

3

Verify your ID and complete payment

The process will prompt you to verify your identity and complete any outstanding payment before the vehicle can be unlocked.

4

Document vehicle condition

Take photos of the vehicle from all sides. Document any existing damage, windshield cracks, or chips. This protects you from being charged for pre-existing conditions.

5

Vehicle unlocks automatically

Once all steps are complete, the connected car system unlocks the vehicle. Retrieve the keys from inside and you’re ready to go.

Toyota RFID Pouch — Important

Toyota vehicles will detect the key fob and may refuse to lock when you try to complete the self-serve process. You must place the key in the provided RFID pouch (bag) to block the signal. The pouch is located inside the vehicle. Failure to use the pouch can prevent the process from completing.

Kia vehicles do not require a pouch. The Kia system works without signal blocking.

Return Process

Same concept as pickup — document vehicle condition, then the system closes out your rental.

1

Park in the designated spot

Return the vehicle to 103 2nd St E, Revelstoke BC V0E 2S0. Park in the marked RevyCar space.

2

Take return photos and document condition

Photograph all four sides, the dashboard (odometer), and the fuel gauge. Document any new damage.

3

Submit the return checklist

Use the return link from your email to submit photos and final condition report.

4

Place keys in pouch (Toyotas) and lock

For Toyotas, place the keys in the RFID pouch inside the vehicle, then complete the lock step. For Kias, simply leave keys inside and the vehicle locks automatically.

After-hours returns: If you return after office hours, staff will inspect the vehicle during the next business day and contact you regarding any damage or additional charges if applicable.

Important — Read Before Your Pickup

Failure to complete the self-serve process can result in you being unable to retrieve the vehicle until office hours reopen. This situation is not refundable.

If it is vital that you have the vehicle at a specific time, we strongly recommend picking up the day prior or the following morning during office hours to avoid any issues.

Common causes of failure: location services disabled on your phone, low battery, not being near the vehicle, Toyota key fob not in the RFID pouch, or poor mobile data connection.

After-Hours Stand-By Assistance — $35

If you are picking up or returning outside office hours and want peace of mind, we offer stand-by assistance for $35. A staff member will ensure you can access the vehicle and will be available to help with any issues during the process.

To arrange stand-by assistance, contact us when booking or at least 24 hours before your pickup.

Self-Serve FAQ

What if my location services aren't working?

Location services must be enabled and working for the self-serve process to proceed. If you are unable to enable location services, you will not be able to unlock the vehicle. In this case, you would need to wait until office hours for staff-assisted pickup.

When will I receive the vehicle location email?

The vehicle location is sent via a separate email 2 to 8 hours before your pickup time. The “start your rental” link is sent 1 hour before.

What is the Toyota RFID pouch and why do I need it?

Toyota smart key fobs continuously broadcast a signal. When the vehicle detects the key nearby, it may refuse to lock through the connected car system. The RFID pouch blocks this signal so the lock process can complete. The pouch is provided inside the vehicle.

Why isn't Ford supported for self-serve?

Ford's connected car platform does not currently integrate with our HQRentals system for remote lock/unlock. Ford vehicles require a staff-assisted pickup and return during office hours.

What is the after-hours stand-by option?

For $35, a staff member will be available during your after-hours pickup or return to ensure you can access the vehicle and assist with any issues. Contact us when booking or at least 24 hours in advance to arrange.

Do Kia vehicles need the RFID pouch?

No. Kia vehicles work with the connected car system without requiring an RFID pouch. Only Toyotas need the pouch to block the key fob signal.
